Privacy policy for Mentalzoom by licensed psychologist Susanne Wiese

As a data controller, I or another psychologist employed by the company collect and process relevant personal data about you, which I am obliged to collect, register and store in accordance with the Danish Psychology Act. I am obliged to collect, register and store according to the Danish Act on Psychologists.

In the following, Mentalzoom’s privacy policy will be described in order to inform you about how we process the personal data that we register when you start a psychology program at Mentalzoom. It is important that you can safely disclose your personal data and sensitive personal information and trust that it will be processed and, if necessary, disclosed confidentially and securely with your consent.

What personal data could be involved?

  • General personal information: Name, email, social security number, address, if applicable also names of family members
  • Sensitive personal data: Health information and other personal information relevant to the psychological treatment

What is the personal data used for?

  • Data is collected and used insofar as it is relevant and necessary for the psychologist’s treatment of you
  • Data may also need to be collected, processed, and disclosed if there is a need to prepare certificates for other healthcare professionals, authorities such as municipalities or insurance companies, subject to your consent.
  • Data is also necessary to be able to bill you or others such as sygesikring danmark or your insurance company.

What is meant by consent?

Definition according to the Danish Data Protection Agency :

‘Written consent is a freely given specific, informed and unambiguous indication of the data subject’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing or disclosure of personal data relating to him or her.

cf. GDPR art. 6(1)(a) and 9(2)(a)

Can you refuse to disclose your personal data?

Yes, this is entirely voluntary. You are not obliged to provide us with your personal data as described above, but if you do not want to, treatment cannot be offered, cf. the purpose for which we collect and process your data. In other words, we need the information to be able to provide treatment and to be able to invoice.

Regarding the disclosure of personal data

  • Information may be disclosed to other healthcare professionals if it is necessary for your current psychological treatment or billing purposes
  • Your personal data will only be disclosed to insurance companies or others with your prior consent, cf. GDPR art.6(1)(a) and 9(2)(a)

Right of access/access to documents

  • As a client, you have access to your own personal information at all times, including access to your own medical records

Withdrawal of consent

You have the right to withdraw your consent to the disclosure, storage and processing of personal data.
You can also ask for information to be deleted or records in the journal to be corrected, with the proviso that psychologists must keep orderly records according to the Psychology Act, which means that the information they have noted in the journal about the course of treatment and sensitive personal information may not be deleted, but only corrected.

Use of data processors

Your information is registered and stored by mentalzoom’s data processor, which is :

  • Therapist booking, which is a secure calendar, journal and invoicing system
  • Likvido (debt collection company, in case of non-payment)
  • Protonmail (secure mail system)

Complaint

If you find irregularities in our data processing, you can complain to the Danish Data Protection Agency
